Bilingual AI Receptionist: Answering Callers in English and French

HiBell › Insights

If you do business in Quebec, Ottawa, New Brunswick or anywhere with a lot of French-speaking customers, you already know the phone problem. Your bilingual staff are stretched thin, and the French callers often wait longest because only a couple of people can take their calls.

A bilingual AI receptionist fixes that in a simple way. Every caller gets answered in their language, at any hour.

How a bilingual agent works

There are two common setups:

  • Separate lines. An English number and a French number, each answered by an agent set up in that language. Simple and predictable.
  • One line, two languages. The agent greets callers in both languages and continues in whichever one the caller uses. Easier for customers, slightly more setup work.

Either way, the agent books appointments, answers questions and transfers calls the same way in both languages, and writes everything into your systems in a consistent format.

Translation is not enough

The biggest mistake is writing everything in English and translating it word for word. Callers notice right away. A good French agent should:

  • Use the vocabulary your customers actually use, which in Quebec often differs from European French
  • Handle callers who switch between French and English mid-sentence, which is common in Montreal
  • Read dates, times, prices and addresses the way a local would say them
  • Know French names for your services, not just the English terms

This is why we have native speakers review the French script and test real calls before launch.

For Quebec businesses: the Charter of the French Language gives consumers in Quebec the right to be informed and served in French. Answering in French by default is the safe and respectful choice. Check with your own advisor for the specifics that apply to your business.

Handing off to a bilingual team

When the agent transfers a French call, it should go to someone who can continue in French. Set your routing rules so French callers reach French-speaking staff, and so the summary passed along is in the language the staff member prefers. If no French-speaking person is available, a firm callback time is better than a transfer that switches language on the caller.

Beyond French

The same approach works for other languages common among your customers. Many Canadian businesses serve callers who prefer Punjabi, Urdu, Chinese, Spanish, Arabic or Tagalog. Start with the languages that show up most in your calls rather than switching on everything.

Where it pays off fastest

  • Dealerships and service centres in bilingual markets, where sales and service calls arrive in both languages. See our dealership AI agents.
  • Clinics and healthcare, where patients want to book in the language they are most comfortable in. See healthcare AI agents.
  • Government and public sector offices with service obligations in both official languages.
  • Multi-location businesses with stores in different language markets.

HiBell already runs French-language agents for Quebec dealerships. If you are weighing options, our guide on how to choose an AI receptionist in Canada covers what to ask any vendor.

Common questions

Can an AI receptionist speak French?

Yes. A properly set up agent can answer, book and transfer calls in French, and can serve both English and French callers on the same line.

Can one AI receptionist handle both English and French?

Yes. It can greet callers in both languages and continue in whichever one the caller chooses, or you can run separate English and French lines.

Does a bilingual AI receptionist understand Quebec French?

It should, if it is set up and tested with Quebec vocabulary and callers who switch languages mid-conversation. Word-for-word translation from English is not enough.
